“Free CRM” is one of the most searched software terms in India, and most articles answering it are either vendors hiding their limits or affiliates ranking whoever pays. Here is the honest version: the free tiers are real, some are genuinely good, and every one of them is built to be outgrown. This guide shows exactly where each one stops.

When a Free CRM Is the Right Call
Honestly: if you are a solo founder, a freelancer, or a 2-person shop doing basic contact tracking and manual follow-ups, take a free tier and keep your money. Bigin for a solo operator and Zoho CRM free for a trio are perfectly sensible starts. You do not need to pay anyone Rs 299 yet, including us.
Where Every Free Tier Breaks
The pattern is identical across vendors, because free tiers exist to convert you:
- The user cap hits first. Free tiers cap at 1 to 3 users (EngageBay is the outlier at 15, but caps contacts at 250 instead). The day your fourth person joins, you are on a paid plan.
- WhatsApp is never really there. Indian sales runs on WhatsApp, and no free tier includes a usable WhatsApp Business integration. It is always the paid hook.
- Automation and reporting are stripped. Free tiers store data; they rarely work it. Follow-up automation, lead scoring, and source reports sit behind the paywall.
- The record cap ambushes you. Bigin’s 500 records sounds like plenty until a few months of Meta ads fill it.
