Set up shifts and start tracking attendance

Create a shift, assign your employees to it, and get them checking in from My Space, including the three things that stop a check-in from working.

Attendance runs on shifts. Until an employee is assigned to one, their check-in button stays disabled, so shifts come first. This gets both halves working: the admin side that defines shifts, and the employee side that checks in.

Before you start

  • HRMS and payroll are a paid add-on that can be added to any CRM plan. See pricing.
  • Your employees need to exist as users first. See Add your team and set what they can see.
  • Check-in asks for the employee’s location in the browser, so they will see a permission prompt the first time.

Create a shift and assign people

Open HRMS from the sidebar, then Time & Attendance.

  1. Create the shift with its working window.
  2. Assign Employees to it. An employee with no shift cannot check in at all, which is the most common setup complaint.
  3. Use View Employees on a shift to confirm who is on it, and Unassign from shift to move someone off.

The same screen is where you watch attendance day to day. Each row shows the Employee, their Shift, Clock In, Clock Out, Breaks, Hours Worked, Status and the shift Window. The markers tell you at a glance who is Present today, Absent today, Late today or On leave today, and Export to CSV takes the range out for payroll or for your own records.

How an employee checks in

Employees do this themselves from My Space.

  1. Open My Space. The card shows Check-in.
  2. Click it. The browser asks for location permission the first time. Allow it.
  3. It changes to Check-out, and Working Time starts counting.
  4. Break Time is there for breaks during the day. A break can only be started after checking in, which is why it reads Please check in to take a break before that.
  5. At the end of the day, Check-out.

When Check-in will not work

There are exactly three reasons, and the button is disabled rather than failing loudly.

Location is required, so a browser set to block it will stop check-in for that person until it is allowed.

Once attendance is running, the rest of the module is in the same sidebar: Absence and Leave Management for leave requests and balances, Holidays for your holiday calendar, HR Database for employee records, Onboarding for new joiners, Payroll for salary runs, HR Analytics, and HRMS Settings.

Attendance feeds payroll, so getting shifts and check-ins right first makes the payroll run straightforward later.
